Privacy Policy
What personal data AgriSync collects, why, who sees it, where it is kept and for how long — in plain English, with your rights up front.
Last updated 31 October 2026
The short version
- We only collect what you give us, plus basic technical logs that keep the service secure.
- We never sell your data or share it for other people’s marketing.
- Everything is hosted on secure servers in the EU (France).
- If you use Ask AgriSync, the AI helper, your question goes to Anthropic in the USA, with names and contact details removed first.
- This website sets no cookies and uses no analytics or tracking.
- You can ask for a copy of your data, or for it to be corrected or deleted, at any time by emailing info@agrisync.co.uk.
1. Who we are
AgriSync Private Limited (“AgriSync”, “we”, “us”), registered in England and Wales with company number 16246344, registered office 28 Northwood Road, Thornton Heath, England, CR7 8HQ, is the controller of the personal data described here. That means we decide how and why it is used and we are responsible for looking after it under UK data protection law, including the UK GDPR and the Data Protection Act 2018.
This policy covers this website (agrisync.co.uk) and the AgriSync portal and apps (app.agrisync.co.uk). For any question about your data, email info@agrisync.co.uk.
2. Data from this website
We only collect personal data you choose to send us, plus basic server logs:
- Early-access request form: your name, email address, phone number (optional), farm size (optional) and any message you write.
- Contact form: your name, email address, phone number (optional), farm size (optional) and your message.
- Chat (“Message us” panel): your email address, your message and your name if you give it. It is a message form, not a live chat service: we reply by email, and treat it exactly like a contact-form enquiry.
- WhatsApp button: if you choose to message us on WhatsApp, the conversation happens in WhatsApp, which is run by Meta (for UK users, WhatsApp Ireland Limited) and processes your messages under its own privacy policy. This website loads nothing from WhatsApp or Meta; it is a plain link that only opens WhatsApp when you tap it. We see your phone number, profile name and messages, and use them only to reply.
- Newsletter sign-up: your email address.
- Record of your submission: when you send a form, our platform also records the date and time, which form and page it came from, and basic technical details of the request (such as an IP address and browser type) to help stop spam.
- Server access logs: like almost every website, our server logs each request, including your IP address, browser type and the page asked for. We use these only to keep the site secure and working.
Website forms go straight from our web server to the AgriSync platform (app.agrisync.co.uk), which we also run on the same server. We send a notification of each new request to our business mailbox, info@agrisync.co.uk.
3. If you create an AgriSync account
When you create an account on app.agrisync.co.uk (or in the AgriSync mobile app) we process more information so we can run the service for you:
- Account details: your name, email address, phone number and role (for example farmer, adviser or haulier). Depending on your role this can also include your SBI (Single Business Identifier) number; operator licence, HGV and vehicle details if you are a haulier; and BASIS or FACTS numbers if you are an adviser or agronomist.
- Farm data: field boundaries, crops, photos you take (which are tagged with the time and GPS location), field records (such as sprays and fertiliser, with the operator’s name and certificate number), loads and proof-of-delivery photos (with where they were taken), the prices and costs you enter, and the other records and logs you keep in AgriSync.
- Marketplace: if you post a listing in the AgriSync Marketplace, its title, description, price, photos, the first half of its postcode (for example YO61) and your farm or business name are shown publicly, including on agrisync.co.uk/marketplace to people without an account. Your full postcode, email and phone number are not shown. Offers and messages are seen only by the people in that conversation.
- Consent records: what you agreed to and when, for example allowing us to fetch your land data or letting an adviser see your farm.
- Sign-in and security logs: when and how you signed in, failed sign-in attempts, and the IP address and device used.
In the AgriSync Android app
- Camera: used only when you take a photo (for example field evidence, a delivery photo or a listing photo). Photos you choose from your gallery come through Android’s photo picker, so the app only sees the photos you pick.
- Location: your phone’s precise location is read only while the app is open and you use a feature that needs it: taking a photo (so we can show it was taken in that field), finding which field you are standing in, showing you on the field map, or “Near me” on the haulage board. It is saved with that photo or used for that search only. The app never tracks your location in the background.
- Notifications: if you allow them, Google Firebase gives the app an identifier for your phone so we can send you alerts. You can turn them off in the app or in Android settings.
- Fingerprint unlock: optional. It is handled by Android; your fingerprint never leaves your phone and we never receive it.
- On your phone: the app keeps a copy of your farm data and any photos waiting to upload so it works with a poor signal. Signing out removes it. The app is not backed up to your Google account.
- No ads, no tracking: the app contains no advertising, analytics or crash-reporting tools.
The portal keeps you signed in using your browser’s local storage. This is strictly necessary for signing in. If you choose, it can also remember your last email or phone number on that device to make signing in quicker.
4. Why we use it (lawful bases)
UK GDPR says we must have a lawful basis for each use of your data. Ours are:
- Replying to enquiries, chat messages, WhatsApp messages and early-access requests — our legitimate interests in answering people who contact us, and taking steps you ask for before you start using the service.
- Newsletter — your consent. You can withdraw it at any time with the unsubscribe link in every email, or by emailing us.
- Providing the AgriSync service to account holders — contract: we need this data to give you the service you signed up for.
- Fetching your land data from the Rural Payments Agency — your consent. You can withdraw it at any time in Settings in the portal.
- Sharing your farm with an adviser or agronomist — your consent, only when you grant them access. Letting them also see your SFI compliance and evidence is a separate consent. We record the wording you agreed to and when. You can stop either at any time on the Advisers page.
- Ask AgriSync, the AI helper — contract: we only send a question when you ask one, to give you the answer.
- Server logs, sign-in logs, spam filtering and fraud prevention — our legitimate interests in keeping the website, the platform and your account secure.
Where we rely on legitimate interests we have weighed them against your rights, and we do not use your data in ways you would not reasonably expect. You can object at any time (see section 8).
6. Where it is hosted and transfers
This website and the AgriSync platform are hosted on secure servers in the EU (France), provided by Hostinger International Ltd. Data travels to and from them encrypted in transit (HTTPS). Transfers from the UK to the EU are covered by the UK’s adequacy regulations for the European Economic Area.
If you use the web app or phone apps, some data goes to the USA: Mapbox (maps), Twilio (text messages), Google Firebase (phone notifications) and, only when you use Ask AgriSync, Anthropic (the AI helper). These transfers are protected by the UK–US data bridge where the provider is certified, or otherwise by the UK International Data Transfer Addendum to the EU standard contractual clauses.
7. How long we keep it
- Website enquiries, chat and WhatsApp messages, and early-access requests: up to 24 months after our last contact with you, then deleted.
- Newsletter: until you unsubscribe.
- Server access logs (IP address, browser): 14 days.
- Accounts: while your account is open. When you delete your account, we delete your data within 30 days, except records we must keep by law.
- Backups: kept for 30 days and then overwritten, so deleted data also disappears from backups within 30 days.
8. Your rights
Under UK GDPR you have the right to:
- Access — get a copy of the personal data we hold about you;
- Rectification — have inaccurate or incomplete data corrected;
- Erasure — ask us to delete your data;
- Restriction — ask us to pause using your data, for example while we check it is accurate;
- Portability — receive your data in a common, machine-readable format, or have it sent to someone else;
- Objection — object to us using your data on the basis of legitimate interests, and to direct marketing at any time;
- Withdraw consent — wherever we rely on your consent (newsletter, fetching land data, adviser access), at any time. This does not affect what we did before you withdrew it.
Account holders can download their data and delete their account from Settings in the web app or the phone app (step-by-step help: how to delete your account). Anyone can also email info@agrisync.co.uk to use any of these rights. It is free, and we reply within one month.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator — see section 11.
10. Children, automated decisions and changes
Children: AgriSync is a business tool and is not aimed at anyone under 18. We do not knowingly collect data from children.
Automated decisions: we do not make decisions about you based solely on automated processing that have legal or similarly significant effects on you. Tools such as payment checks, crop-health flags and Ask AgriSync’s answers are suggestions for you to review.
Changes: we may update this policy as AgriSync develops. We will change the date at the top of this page and, if a change significantly affects how we use your data, tell account holders and newsletter subscribers by email before it takes effect.
11. Contact us and complaints
Questions about this policy or your data, or want to use your rights? Email us. If you are unhappy with how we have handled your data, please tell us first and we will do our best to put it right.
info@agrisync.co.ukYou can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or by phone on 0303 123 1113.
